AI DM Manager

An AI DM Manager that helps keep customer conversations moving.

AI DM Manager reads incoming direct messages, answers common questions from approved replies, and passes the rest to a person.

It does not message followers, send bulk DMs, or book appointments on its own. Which social inboxes are connected is assessed during implementation.

What AI DM Manager does

Inbox handling, common replies and routing — within your rules.

AI DM Manager helps a business read incoming direct messages, answer common questions from approved replies, and pass the rest to a person. It is a managed inbox role — not an Instagram growth tool, and not a mass-messaging bot.

It works from approved replies and can connect to social inboxes and a CRM. Named networks — Instagram, Facebook Messenger, WhatsApp — are assessed during implementation. A CRM connection is not automatic record writing, appointment booking, or lead scoring.

Read incoming messages

Keep direct-message conversations in view so a useful enquiry is less likely to sit unanswered.

Answer common questions

Use replies you have already approved when the question is covered. It does not invent answers you have not allowed.

Route what needs a person

A message outside the approved replies is passed to a person — not guessed, booked, or closed automatically.

Keep the inbox organized

Inbox handling is the work of organizing conversations and next steps, not mass outreach or account growth.

The problem

Direct messages feel casual. Missing one still costs you the conversation.

People talk to the business while you are doing something else. The work is keeping common questions moving and making sure the rest reach a person.

01

New messages get overlooked

A question arrives while the owner is busy. Hours later it still looks unanswered.

02

The same questions keep coming

Hours, areas, whether you can help — asked again because nobody used an approved reply the first time.

03

Important enquiries sit next to casual ones

A real job is in the same pile as “just checking.” Both wait.

04

Unusual requests have no path

When a message is outside what you have already allowed, nobody is sure who should look.

How the workflow operates

From an incoming message to an approved reply or a person.

Incoming messages are read, common questions can be answered from approved replies, and the rest are passed to a person. The Employee does not message followers, send bulk DMs, or book appointments on its own.

  1. 01 Message arrives

Someone wrote in — a conversation, not a form.

  2. 02 Approved replies checked

The question is compared with replies you have already allowed.

  3. 03 Common question answered

If it is covered, an approved reply can be used. This is not a bulk send.

  4. 04 Needs a person

Anything outside the approved replies is passed to a person, not invented.

One conversation

Watch a common question find an approved reply.

A direct message arrives, the question is identified, an approved reply can cover a common question, and anything else still needs a person. Illustrative — not a live inbox, and not a booking or CRM update.

Reading the message

Illustrative conversations

Kinds of messages this role can help with.

These are examples, not live inbox data and not a promise that every social network is connected.

Common question

A customer asks whether you work in an area already covered by an approved reply.

New enquiry

Someone messages the business. The conversation is read and kept in view.

Unusual request

The message is outside approved replies, so it is routed to a person.

Sensitive issue

A conversation that should not be guessed is escalated rather than answered autonomously.

What you control

Replies still belong to the business.

The role works from approved replies. A message that needs a person still comes to a person. A CRM connection is not permission to write records or close a sale.

  • Approved replies
  • What counts as a message that needs a person
  • Which social inboxes are in scope
  • Whether a reply is sent or only prepared
  • Customer information the conversation is allowed to use

Why it matters

Clearer conversations, without handing over the inbox.

The value is organized message handling and a clearer path to a person. This page does not claim faster replies, more followers, or more sales.

  • More organized direct-message conversations
  • Less time answering the same common questions
  • Clearer handoffs when a person is needed
  • More consistent use of approved replies
  • No mass outreach from this role

When a person is needed

A message outside approved replies is a reason to involve a person, not to guess.

Approved replies still apply. Common questions can be answered. None of that is permission to message people who liked a post, send bulk DMs, book a time, or treat a CRM connection as automatic record writing.
