Back-and-forth availability
“When are you free?” turns into three messages and a time that no longer works.
Scheduling Assistant
The Scheduling Assistant helps customers and prospects find a time, confirm the booking and handle rescheduling around your real availability and booking rules — without the usual back-and-forth.

AI Scheduling Assistant
A Scheduling Assistant handles the coordination between someone asking for a time and the appointment reaching the calendar. It is built for customer and prospect conversations — not personal calendar management or employee shift scheduling.
It can work from approved availability, booking rules and connected scheduling information, and bring a person in when the request falls outside those rules.
The problem
“When are you free?” turns into three messages and a time that no longer works.
Someone needs to move it, and the original thread is the only place that knows.
The time was agreed, then it never made it onto the calendar that people actually use.
How booking moves
Not every request can continue automatically. Booking rules decide what can be offered, and unusual requests can be escalated to a person.
01
A customer or prospect asks for a time.
02
The workflow checks times that are currently free.
03
Approved rules decide what can be offered.
04
Available times are offered back.
05
A selected time can be confirmed.
06
The appointment can move into the connected calendar.
07
A reschedule continues the process, or a person reviews an unusual request.
Availability and rules
This is appointment coordination around approved availability and booking rules — not a generic booking-link tool and not a standalone calendar product.
The Scheduling Assistant works from the calendar and availability information made available to it, so it can offer times that are currently available.
The business defines the rules that matter to the booking process. Those rules decide what can be offered automatically.
Requests that fall outside those rules — or that need a person to confirm — can be escalated rather than guessed.
Illustrative examples
From request to calendar
A request comes in, available times are offered around real availability, and the chosen slot can be confirmed so the appointment can move into the connected calendar.

When plans change
A customer or prospect may need to move an appointment. The Scheduling Assistant can help coordinate a new approved time around current availability.
The original time no longer works.
A new approved time is coordinated around current availability.
Human control
The Scheduling Assistant is not unrestricted autonomous scheduling. When a request sits outside the approved setup, the configured workflow can escalate it to a person rather than guessing.
Limitations
Connections
The Scheduling Assistant is configured around the approved systems the booking process actually uses. Exact connections depend on the implementation.
Scheduling workflows can include reminder steps based on the approved setup, so booking-related reminders are less likely to be forgotten.
